Online check-in: register before arriving
Definition : Online check-in (or online registration) lets a guest fill in their details and send their ID before arrival, from their phone.
Online check-in, or online registration, means sending the guest a private link before their stay so they fill in their own details: identity, arrival time, ID documents, sometimes signing the rental agreement.
On the day, your team starts with data that is already there to verify, instead of typing everything at the desk.
What the guest provides
Depending on the business, the guest usually gives:
- Their identity and that of the people travelling with them
- Their expected arrival time and a contact number
- A photo of their ID: passport, national ID card or residence permit
- Their agreement to the stay conditions or the signature of the contract
Why set it up
Less waiting and less typing at arrival, more accurate details because guests write them themselves, and a team that knows before arrival who is coming, when, and whether a document is missing. It is also the base for preparing the police form without retyping.
Best practice
- Send the link as soon as the booking is confirmed, then a reminder before arrival
- Choose a form that works well on a phone and in several languages
- Check each document before arrival and chase if one is missing
- Keep ID photos only as long as necessary
Personal data
An ID document is personal data. In Morocco, law No. 09-08 and the CNDP regulate how it is processed. Store documents in a login-protected space, limit access to the people who need it and delete them after the stay. If in doubt about your obligations, ask the CNDP or a legal adviser.
