WhatsApp and guests: automate your messages without losing the human touch

Confirmation, online registration, arrival details, reviews: which WhatsApp messages to automate for your guests in Morocco, and which to write yourself.

WhatsApp et voyageurs : automatiser vos messages sans perdre le contact humain

In Morocco, WhatsApp is the reflex: guests, owners, cleaning teams, everyone is already there. That is a huge asset for hospitality, and also a trap. Answering everyone, at any hour, without forgetting anyone quickly becomes a second job. The answer is not to reply less, but to automate the predictable messages so you have time for the ones that matter.

Messages you can automate

Some messages are almost identical from one guest to the next, and their timing is known in advance:

  1. The booking confirmation, a few minutes after the reservation, with the dates and the reference.
  2. The online registration link, so guests fill in their details (and the police form) before arriving rather than at the desk.
  3. Arrival information, a few days before: address, how to get there, arrival time, access, code or key handover.
  4. The arrival-day message, short and warm: "Everything is ready, have a safe trip!"
  5. A short note during the stay, the day after arrival, to check everything is fine.
  6. Departure information, the day before: time, keys, instructions.
  7. The review request, after departure, while the memory is fresh.

Written once with care, these messages work for you on every booking.

Messages worth writing yourself

  • an answer to a specific question (a toddler, a dietary need, a late arrival);
  • handling a problem: breakdown, delay, dissatisfaction;
  • a personal suggestion: airport transfer, excursion, a good address;
  • any message where tone matters more than speed.

A simple rule: automate what informs, write by hand what reassures.

A few good practices

Use the guest's first name and sign with the name of your property: an anonymous message sounds like an advert.

Keep it short. On a phone, three or four lines get read; a paragraph gets skimmed.

Speak the guest's language. French for a French guest, English for an English-speaking one: people notice.

One message, one idea. The registration link does not need to be buried under Wi-Fi instructions.

Respect the hours. No message at midnight. A message sent at the right time lands better than an immediate one.

Leave the door open. Always end with an invitation to reply: automation starts the conversation, it should never close it.

Keep the record in one place

When messages go out from your phone, the history lives in your phone. If a colleague takes over or you change number, it is all gone. A management tool that sends messages from your own WhatsApp number and files them in a shared inbox lets the whole team see who wrote what, and reply from the same place.

How Hosteo does it

In Hosteo you connect your WhatsApp number by scanning a code, then choose which automatic messages to turn on and when they go out: confirmation, registration link, arrival information, review request. Replies land in the shared inbox, next to your platform messages. You keep control of every text. To see more, book a demo.
